What is a Virtual Credit Card?

A virtual credit card is a unique credit card number that is generated to settle a specific transaction.

Virtual Credit Card FAQ

  • There is no plastic card involved; instead, the number is generated electronically and faxed or emailed directly to your hotel along with payment instructions.
  • The virtual card number should be processed like any other card not present transaction via your property management systems or point of sale terminal.
  • These virtual credit cards have several controls, including maximum amount allowed, validity dates, MCC (Merchant Category Codes) and how many Authorizations can be processed per card.
  • The most common payment is for Room & Tax with all incidentals to be settled by the guest.

Best Practice

Is to SPLIT the FOLIO, post Room & Tax on the virtual card and all incidentals and additional room charges on a separate folio with the guest form of payment.

Cancellations - No Shows - Modifications

Process any cancellation fees or No Shows as you do today. For any modifications extending the stay, you will receive notification (via FAX or email) with either a new virtual card or an updated amount for the original virtual card.

Pre-Authorization and Settlement

If you obtain a Pre-Authorization before or at Check-in, please make sure you use the Authorization code at the time of charging the card instead of performing another Authorization since this will more likely exceed the maximum amount on the virtual card.
